Reservation Agent – Incoming

About the role

The Incoming Department of VAS GROUP is looking for a motivated Reservation Agent to handle booking requests and ensure smooth travel experiences for our clients. You will work closely with hotels, guides, transport providers and other tourism partners.

Key responsibilities

• Receive, create and meticulously follow up reservation requests via phone, email or reservation platforms for hotels, guides, transport, restaurants, museums, attractions, activities and meetings.
• Enter all reservation data into the company’s operational system and respect internal response deadlines for clients and suppliers.
• Provide advice and clarification to clients during the confirmation and booking process.
• Continuously update clients on reservation status and resolve any issues that arise.
• Maintain professional communication with clients and suppliers through email, phone or other channels during regular and emergency hours.
• Prepare and send commercial offers (pro‑form invoices) and compile client payments prior to check‑in.
• Execute supplier contracts, follow up with the finance department and ensure accurate settlement.
• Meet deadlines for group closures in the system and produce daily, weekly and monthly reports for the department manager.
• Leverage company‑provided software, communication channels and innovative tools to improve efficiency.

Required profile

• University degree, preferably in exact sciences or foreign languages.
• Fluent English (mandatory); additional languages are a plus.
• Minimum 2 years experience in the tourism sector.
• Strong organizational and communication abilities.
• Passion for travel, customer‑oriented mindset and ability to work independently.
• Capable of making quick, accurate decisions in reservation‑related situations.
