Office and Business Operations Manager

About the role

GSE Security is seeking an Office and Business Operations Manager to coordinate daily office administration and core business‑support activities. The role is hands‑on, acting as the central hub for client quotations, supplier management, financial documentation and client communication, reporting directly to Executive Management.

Key responsibilities

• Manage day‑to‑day office functions, including correspondence, contracts, offers, invoices and supplier records.
• Organise internal requests, meetings and deadlines across departments, ensuring records are complete, approved and securely filed.
• Prepare professional client quotations and commercial documents using approved pricing and templates, maintaining a register of all quotations.
• Serve as the first point of contact for clients by phone and email, routing requests to appropriate teams and monitoring resolution.
• Coordinate invoicing, expenses and payment records, supporting the finance team with required documentation and basic cost summaries.

Required profile

• Highly organised with strong attention to detail and accuracy.
• Commercially aware and able to coordinate multiple priorities across executive, operations, finance and external partners.
• Hands‑on attitude; not a purely clerical or reception role.
• Legal right to work in Albania.

Required skills

• Proficiency in office administration and document management.
• Experience preparing client quotations and commercial proposals.
• Basic financial coordination such as invoicing and expense tracking.
