Marketing Operations Assistant

About the role

We are seeking a highly organized, detail‑oriented Marketing Operations Assistant to support the marketing activities of a portfolio of more than 20 apartment communities. The role is process‑driven, focusing on maintaining accurate information, keeping systems tidy, and ensuring recurring marketing tasks are completed on schedule.

Key responsibilities

• Run scheduled listing consistency reports, conduct monthly audits of community listings, and publish approved posts to Google Business Profiles.
• Monitor online listings, perform weekly website audits, and test tracking numbers to ensure proper call routing.
• Pull weekly Yardi reports on leads, tours, applications and leases; compile Google Analytics and Google Search Console data; prepare and distribute the weekly marketing operations report.
• Conduct monthly secret shops of leasing teams, manage print‑material reorders, and maintain inventory records for marketing supplies.
• Coordinate resident‑event submissions, verify event details, and organize event photos and recaps for reporting.
• Monitor the shared marketing inbox, route requests, and collaborate with onsite property teams and internal stakeholders.

Required profile

• Previous experience in marketing coordination, marketing administration, virtual assistance, operations, property management, or a similar administrative role.
• Strong attention to detail, reliability, and comfort working with recurring processes and multiple deadlines.
